Consumer Health Data Privacy Policy
Arrive Gender Coaching
Effective October 16, 2026. Last updated October 16, 2026
This policy applies to consumer health data as defined by the Washington My Health My Data Act. It covers Washington residents and anyone whose consumer health data we collect in Washington.
This is a separate policy from our general Privacy Policy, and it covers only what Washington law requires.
Categories of consumer health data we collect
Information about gender-affirming care you are seeking, planning, or have received, including hormone therapy, surgery, and related procedures
Gender identity and gender-affirming care status
Health care providers you are working with or want to be referred to, including prescribers, surgeons, electrologists, pelvic floor physical therapists, and therapists
Appointment dates, waitlist status, and surgical timelines you share with us
Health insurance information relevant to coverage of gender-affirming care, including plan details, prior authorization status, and denials and appeals
Information about diagnoses, letters, or documentation that other providers have required of you, where you share it with us so we can help you plan around it
Precise or general location data derived from your IP address when you use our website
Any other health-related information you choose to tell us during coaching
We do not ask for a diagnosis, and we do not request your therapy or medical records. We receive health information only when you give it to us.
How we collect it
Directly from you, through our website forms, your intake form, your sessions, and your emails and messages to us
From your device when you use our website, including IP address and the pages you visit
From a third party only when you have signed a written authorization directing them to send it to us
Why we collect it and how we use it
To provide the coaching you asked us for, which means planning and sequencing the steps of your transition
To make referrals you ask for, and to tell you which providers and procedures your insurance may cover
To prepare insurance appeals, prior authorization requests, and letters on your behalf when you ask us to
To schedule your sessions and keep records of our work together
To respond when you contact us
To operate and improve our website
We do not use consumer health data for advertising or marketing, and we do not use it to build profiles of you for any purpose beyond providing coaching.
Categories of sources
You
Your device and browser, when you use our website
Third parties you have authorized in writing to share information with us
Consumer health data we share, and who receives it
We share consumer health data only with service providers who process it on our behalf under contract, and only what each one needs to do its job. We do not share it with anyone else unless you give us separate, specific consent, or the law requires it.
| Who receives it | What they do with it |
|---|---|
| Jane Software Inc. (JaneApp) | Hosts our scheduling, intake forms, client records, and session notes |
| Stripe | Processes payments. Receives billing information, not health information |
| Squarespace, Inc. | Hosts our website and collects website visitor data |
| Google LLC (Google Workspace) | Hosts our email and our internal client tracking, which includes names and service dates |
| Google Analytics (GA4) | Receives website visitor data including IP address |
| HubSpot | Hosts our forms, which means it receives form submissions and collects names and email addresses |
Affiliates with access
Washington law requires us to name specific affiliates with access to consumer health data, not just describe categories.
Arrive Therapy is an affiliate of Arrive Gender Coaching. The two businesses share common ownership. Alexander Stefanini owns both and, as owner, holds administrative access to both record systems, which means he has the ability to view consumer health data held by either business.
No other person at Arrive Therapy has access to Arrive Gender Coaching records, and no Arrive Gender Coaching coach has access to Arrive Therapy records.
Disclosures the law requires
We may disclose consumer health data without your consent where the law requires it, including in response to a court order or subpoena, a report of suspected abuse or neglect of a child, an older adult, or a dependent adult, or a serious threat of harm to you or someone else.
We do not sell consumer health data
We do not sell consumer health data, and we will not, to anyone, for money or for anything else of value. If that ever changes, we would need your signed valid authorization first, and we would update this policy before asking for one.
Your rights
If you are a Washington resident, or if we collected your consumer health data in Washington, you have the right to:
Confirm whether we are collecting, sharing, or selling your consumer health data, and to access it
Get a list of all third parties and affiliates with whom we have shared or sold your consumer health data, including how to contact each one
Withdraw consent you previously gave for us to collect or share your consumer health data
Delete your consumer health data
Appeal if we decline a request
Be treated the same whether or not you exercise these rights. We will not deny you coaching, charge you a different price, or give you a lesser service because you made a request
How to make a request
Email info@arrivegendercoaching.com with the subject line Washington Health Data Request, or write to us at 30 S Valley Rd, Paoli, PA 19301
Tell us which right you are exercising. We may need to verify your identity before we act, and we will only ask for what we need to do that.
What happens next
We respond within 45 days. If we need more time, we will tell you within those 45 days and take up to 45 more.
When you ask us to delete, we delete your consumer health data from our active records within 30 days, and from backups and archives within six months. We also notify every service provider, affiliate, and third party that received it and direct them to delete it as well.
When you withdraw consent, we stop the collection or sharing you withdrew consent for. Withdrawal is forward-looking, so it does not undo something that already happened, and we will tell you plainly what we have already shared and with whom.
If we decline a request, we will tell you why and explain how to appeal. To appeal, reply to our response or write to info@arrivegendercoaching.com with the subject line Washington Health Data Appeal. We respond to appeals within 45 days. If we deny your appeal, we will give you a link to submit a complaint to the Washington State Attorney General.
One thing deletion cannot undo
If you ask us to delete your records, we delete them. Some of the work we help you with leaves records with other organizations, such as a court, an agency, an insurer, or a provider. We cannot delete those, and this policy does not reach them.
Geofencing
We do not use geofencing around any facility that provides in-person health care services. We do not use it to identify or track anyone seeking care, to collect consumer health data, or to send messages or advertisements. This applies to us and to any advertising agency working on our behalf.
Changes to this policy
We will not collect, use, share, or sell consumer health data for any purpose beyond what this policy discloses without first getting your consent. If we change this policy, we will update the date at the top and post the new version here.
